What Mind Athletix is — and what it is not

Mind Athletix is a mental performance and cognitive training platform that helps athletes develop focus, decision-making and build performance habits through interactive drills and self-reported check-ins.

Mind Athletix is not a mental-health assessment platform, a psychological or psychiatric diagnostic tool, a medical device, or a healthcare provider. Nothing in the platform constitutes medical, psychological, therapeutic or clinical advice. If you have concerns about your mental health, please consult a qualified healthcare professional. Mind Athletix is not monitored as an emergency or crisis service. Users requiring urgent medical, mental health or safeguarding support should contact appropriate emergency or professional services.

 

1. Who we are

Mind Athletix (“we”, “us”, “our”) is the data controller for the personal data described in this policy. Contact our privacy team at privacy@mindathletix.com.

2. What data we collect

  • Account data: username and login credentials

  • Performance data: game scores, session timestamps, in-app time.

  • Self-reported check-ins: 1–10 ratings for mood, sleep, stress, energy and focus, plus anything you want to share with your coach. *Please do not submit medical information or other sensitive personal information unless specifically* 

  • Technical data: browser type, device type, IP address, error logs.

  • Consent records: the versions of our policies you accepted, the timestamp and your browser user-agent.

3. Why we collect it (purposes & legal bases)

  • To deliver the training service — run drills, save your scores and progress. Legal basis: performance of a contract.

  • To let your coach support you — coaches see scores, activity and check-ins for the athletes they work with. Legal basis: legitimate interests / contract.

  • To keep accounts secure — authentication, abuse prevention, audit logs. Legal basis: legitimate interests and legal obligations.

  • To improve the platform — aggregated, de-identified analytics. Legal basis: legitimate interests (or consent where required).

  • To prove you accepted our terms — we store your consent record. Legal basis: legal obligation and legitimate interests (defending legal claims).

We do not sell personal data and we do not use it for advertising profiling.

4. How long we keep it

  • Account data: while your account is active and for up to 12 months after closure.

  • Performance data & check-ins: up to 24 months, then de-identified or deleted.

  • Login & technical logs: up to 12 months.

  • Consent records: 6 years after your last interaction with us, to defend any legal claims.

  • Backups: rolling backups are overwritten within 35 days.

5. Who can access your data

  • You — you can view your own scores and check-in history in-app.

  • Your coach — : Before using Mind Athletix, athletes are informed that authorised coaches and staff linked to their team, club or academy may be able to view their training scores, activity data, session history and self-reported check-ins through the platform, in the admin area.

  • Mind Athletix staff — strictly limited to those who need access to run, support or secure the platform, under confidentiality obligations.

  • Infrastructure providers — vetted hosting and database providers acting as processors under written data-processing agreements.

  • Authorities — only where we are legally required to disclose data.

We do not share your data with advertisers or data brokers.

6. Children and young athletes (under 16)

We do not knowingly collect data from children under 13. For users aged 13–15, a parent, legal guardian must provide verifiable consent before an account is issued. Parents and guardians may request to review, export or delete a child’s data at any time using the contact details below.

7. Your rights, including deletion

You have the right to access, rectify, port, restrict, object to processing of, and erase your personal data, and to withdraw consent at any time.

To request deletion of your account and data: email privacy@mindathletix.com from the address associated with your account (or ask your coach to forward the request on your behalf, including your username). Put “Data deletion request” in the subject line. We will verify your identity, action the request within 30 days and confirm in writing once your data has been erased. Some records (for example consent logs and minimal anti-fraud information) may be retained where the law allows or requires.

You may also lodge a complaint with your local data protection authority (e.g. the UK ICO).

8. Security

We use TLS in transit, encryption at rest, access controls, and audit logging. No system is 100% secure; please use a strong, unique password and keep your credentials private.

9. International transfers

Where data leaves the UK/EEA we rely on Standard Contractual Clauses and additional safeguards.

10. Changes

We will update the version number at the top of this policy and re-prompt you to accept any material change before you continue using the platform.
